Activity Document Coverage
Use Fund Operations → FundOps Recon → Activity Document Coverage to find notice activities missing the configured supporting-document type.
Each row is one activity and required document type, rather than one uploaded file or one cash transaction. This control covers Investment and Subscription Capital Calls and Distribution Notices only. It is not a document-completeness audit for every activity, Expense, Income or investor onboarding record.
Scope the notice dates
A notice activity records the expected event in the operating book. Its supporting document supplies external evidence for that expectation. The file must be linked to the exact activity because a fund can have several notices for the same investment or subscription. A file stored only against the parent does not identify which notice it supports.
The control therefore combines a requirement, a document classification and a direct activity link. A missing or misclassified relationship can remain Unmatched even when the correct file exists elsewhere. Fix that evidence relationship rather than creating another notice or changing a valid activity amount.
Choose Entity and optionally Date Range. The range filters activity dates inclusively. Leaving it blank includes all eligible activity dates. This page does not apply As of Date to document coverage.
The table initially filters Recon Status → Not equals → Matched. Open Filter and remove that condition to inspect covered rows; restore it for missing-evidence work. This differs from the notice tabs' global Recon Status selector.
Two fictional Capital Calls need supporting documents: Harbor's Investment Activity #1 and Cedarbridge Core's Subscription Activity #2. Both are Unmatched with Missing Required Document. The same numeric ID in another table would be a different record.
Harbor's Capital Call #1 and Core's Subscription Capital Call #2 already have linked contributions, so their notice comparisons can be Matched. The supporting files are still missing from the required activity links. The next task is to find and attach the genuine Capital Call Notice to each exact activity; creating another call or contribution would not supply that evidence.
Understand what counts as coverage
The configured requirements are:
- Investment Capital Call → Capital Call Notice.
- Investment Distribution Notice → Distribution Notice.
- Subscription Capital Call → Capital Call Notice.
- Subscription Distribution Notice → Distribution Notice.
A qualifying document must be non-deleted, have the exact required document type, and be linked directly to that activity's table and ID. A document attached only to the parent Investment or Subscription does not satisfy this check. A genuine document with the wrong classification or link can still leave the row Unmatched.
Unmatched means no qualifying document was found; Recon Issue reads Missing Required Document. Matched means at least one qualifying document is present. Multiple documents can still be Matched; duplicate links to the same document do not increase the distinct count.
Matched establishes attachment presence and type. It does not verify the contents, amount, signatures, authenticity, completeness or approval of the document. Review the evidence itself.
Results use current links and current document deletion/type state, regardless of when the file was uploaded or linked. A date-filtered result is not a historical document snapshot.
Find the right evidence
Use Origin, Activity, Parent Record, Required Document and date together to identify the exact notice. Investment Entity scope derives from current allocation relationships; an unallocated Investment can disappear when Entity is selected. Clear Entity and inspect the source records if a notice is missing.
An Unmatched row has no Documents count link. Use its Activity reference and the record's document attachment workflow to find and link genuine supporting evidence. Check the document type and exact activity relationship. Do not upload a placeholder or change the notice category just to remove an exception.
A covered row provides a Documents link for the matching files. Open the evidence and verify it concerns the right notice; the filename alone is not approval.
Activity Explorer → Open explorer focuses on the selected notice, not all linked Contributions/Distributions. This page's link uses today's As of Date and does not forward Date Range. Recheck the destination date and Entity before interpreting its cash/accounting context.
Verify the correction
Refresh in the same scope after an authorized attachment or classification/link correction. The row should leave the exception list. Remove the table's Not equals Matched filter to verify its Matched result, then restore the filter.
This completes the configured presence check only. Keep document review, activity reconciliation, cash settlement and accounting posting distinct. Row selection can provide context to an available assistant workflow and does not approve the evidence.
