Cash & Fund Operations Reconciliation
A recorded event and its cash can disagree in several ways. A call may have no contribution, a receipt may have no activity link, or linked records may have different amounts. Reconciliation turns those questions into checks you can investigate.
Start from the unanswered question
Use Cash Recon when the question begins with bank evidence or internal cash. Its checks compare imported activity, account transactions, splits, links, transfers and balances.
Use FundOps Recon when the question begins with notices, operational activity, allocations or supporting documents. Its checks can find activity that never reached cash, including items no cash-first explorer would reveal.
The two directions meet at Cash Splits Recon and Activity → Cash. One begins with cash splits; the other begins with operational activity. A clean result in one does not establish completeness in the other.
Work through a partial receipt
A partial settlement leaves part of an existing obligation unexplained. Compare the expected amount with the amounts applied through linked contributions and cash, rather than comparing only the presence of records. A missing link, a missing receipt and a genuinely unpaid balance require different follow-up.
In this hypothetical example, a subscription has a USD100,000 call but only USD60,000 of supported settlement.
First confirm the selected entity, dates and currency. Open the check's existing record references. Compare the call, its funding activities and the amounts applied through their cash links. If the bank received only USD60,000, USD40,000 remains unpaid or otherwise unresolved. Do not change the call to USD60,000 or create a second receipt to clear the check.
If a second USD40,000 receipt already exists but is unlinked, investigate that existing receipt and link it only when its evidence identifies the right subscription and event. Refresh the original check under the same scope after the authorized correction.
If the due date is still in the future, an unpaid amount can be a valid timing difference. Keep the amount visible and record the explanation and expected follow-up.
Read the check's diagnosis
Invalid describes a record or relationship that fails a control. Unmatched describes a missing expected record or link. Mismatched describes linked records that disagree. Read the individual check's explanation: duplicates, partial payments and date differences are possible causes, not a second universal status vocabulary.
A duplicate import needs a source investigation. Two same-amount rows may instead be a notice and its contribution, or a parent total and its details. Confirm table, ID, category and source evidence before deleting or replacing anything.
Some configured checks support [IGNORE EXCEPTION] in a source-record comment. Where the check documents that behavior, an unresolved comment containing that marker can exclude the record from that check. This does not correct the data, approve the difference or suppress every related check. Follow the owning guide and your review policy; resolving the comment can make the record appear again.
Protect the reviewed result
After errors are corrected, rerun the affected checks and record the evidence for accepted differences under your team's review policy. An admin can protect reviewed records through Data Locks.
If a locked record needs correction, ask an admin to unlock it, preserve the reason, make the correction and repeat the review before locking again. Locks protect rows; they do not establish a separate preparer/reviewer approval or close an accounting period.
