Subscription Notices Recon
Use Fund Operations → FundOps Recon → Subscription Notices Recon to compare a Subscription's Capital Call or Distribution Notice with its linked subscription activities.
Each row is one Subscription Activity notice. The notice document is separate evidence. A Contribution or Distribution is another activity linked through Notice Id, rather than a second copy of the notice.
Find a notice
A subscription capital call requests funding from its holder; a distribution notice records an expected distribution to that holder. Responding activities are separate records because the request and its fulfillment can happen on different dates or in several portions. Notice Id tells the control which responses belong to which expectation.
The relationship matters as much as the amount. A contribution for another subscription cannot satisfy this notice merely because the values agree. After the notice-to-activity comparison passes, trace the responding activity to cash to answer whether and when settlement occurred.
Choose Entity, As of Date, Recon Status, Share Class and Subscription as needed. Recon Status starts at Exceptions; choose All to inspect passing rows. Recheck Share Class and Subscription after changing Entity so an old selection does not hide the record.
For the example use Cedarbridge Example Fund LP #1, August 31, 2026, All, All share classes and All subscriptions.
Subscription Activity #2 is Cedarbridge Core Subscription's July 1 Capital Call. Its linked Contribution, Subscription Activity #3 dated July 5, is −USD100,000. The notice and activity amounts agree, with zero Difference and Matched status.
The notice's Entity comes from Subscription → Share Class → Entity. Broken parent relationships can exclude a notice entirely. No results under Exceptions is not proof that all source relationships exist; investigate missing records in Activity Integrity and the originating Activity ledger.
Use the column groups
Compare the expected notice amount with the magnitude of the net qualifying response activities. Several contributions or distribution components can legitimately belong to one notice. The control tests their combined amount and currency, while the individual events retain their own categories and dates. Do not add the notice to those responses as another receipt or payment.
Reconciliation keeps Notice Amount, Activity Amount and Difference visible; expand it to compare both currencies. Notice Details keeps Notice Date visible; expand for Due Date, category and description.
The same Capital Call after expansion and horizontal scrolling: both currencies are USD; Notice Date is July 1 and Due Date is July 5. The due date is context, not an overdue or settlement-timing test.
Several activities may legitimately reference one notice. Activity Amount sums qualifying linked activities. Difference is the magnitude of that net sum less the magnitude of the notice amount. Absolute Differences up to and including 0.01 pass the amount check. No currency conversion occurs, and this magnitude test does not independently validate every economic sign.
Do not add the notice and its linked Contribution as separate cash receipts. These subscription-ledger values are not a bank-cash total.
Read the issue and its limits
The issue separates missing responses from incompatible responses and amount differences. Fix the identified relationship or source fact, then recheck the same notice. Because current links can include responses after the selected notice cutoff, a Matched result cannot answer whether funding had arrived by that earlier date.
- Invalid: a required notice amount/currency or linked currency is missing at the applicable check.
- Unmatched: no qualifying linked subscription activity.
- Mismatched: linked activities belong to another Subscription, use incompatible categories/currencies, or exceed the amount tolerance.
- Matched: the configured comparison passed.
Recon Issue shows the first applicable issue. Capital Calls expect Contribution categories; Distribution Notices expect the configured Distribution/Redemption categories. Fixing only an amount does not resolve a wrong owner, category or currency.
As of Date restricts the notice date only. Its activity total uses current qualifying Notice Id links, including later-dated activities. Matched does not establish that cash arrived by that cutoff, or that every activity field is complete.
The check does not prove payment, posting, document approval or timeliness. In-kind is not excluded from the activity comparison. Use the linked activity's settlement context and cash controls for the payment question.
Follow the correct records
The Subscription Notice reference opens the notice record. Open explorer focuses Fund Overview's Activity Explorer on that notice ID and passes the cutoff. It does not automatically show all child Contributions/Distributions. Identify those in Subscriptions → Activity by their Notice Id and Subscription before tracing cash.
The current Related Activities count shortcut points to Allocation Coverage rather than related-activity detail and can reset the date. Use native app tabs and source references, and recheck Entity/date at the destination.
Compare the obligation and recorded activity with genuine evidence. Correct a wrong Notice Id, Subscription, category, currency or value in the owning workflow when justified. Do not create a second Contribution or alter a valid amount just to make the table pass. Refresh with the same filters and verify the specific issue; use All to see resolved rows.
Row selection supplies context to an available assistant workflow; it does not approve or execute changes.
