Journal Explorer
A business source, its journal and its settlement answer different questions. The source describes the event; the journal records its GL treatment; related cash explains what money moved. A source can have several journals and a journal has several lines, so the relationship must be read before interpreting totals.
Open Accounting → Accounting Operations → Journal Explorer to follow existing accounting back to its source and across to related cash. Start here when the question is “what produced this accounting entry?” The explorer begins with journals, so it cannot list a source for which no journal exists.
Find the accounting evidence
Choose Entity and Period. Period scopes journal Entry Date, not the header's stored Period Id. Source Type narrows the journal's originating record type. GL Account finds journals containing that account and keeps their other lines, preserving the journal's full debit/credit context.
This page starts from journal headers. An activity with no journal does not appear here; investigate it in FundOps or Posting. Draft, Posted and Reversed journals can appear, so inspect Status before interpreting an amount as posted accounting.
Fictional Expense #1 expands into two lines of journal #1, both Draft: USD1,200 debit to Training Administration Expense and USD1,200 credit to Training Expense Payable. “Count: 2” counts detail rows, not two journals.
Expand the source, then the columns
Use the chevron beside Source to show journal lines. One source group can contain several journals; an individual detail row represents one line. A journal without lines can appear as a header-only row.
The arrows beside Journal, Cash and Dimensions expand columns, independently of the source's row chevron:
- Journal keeps Entry, Date, Status, GL Account, Debit, Credit and Currency visible. Expand for journal description, line memo, type, side and evidence reference.
- Cash keeps the Cash Explorer link visible. Expand for related records, Cash Status, Source Amount, Linked Cash, source currency and record references.
- Dimensions keeps Share Class visible. Expand for Entity, Investment, Account and Subscription.
Scroll horizontally to reach the added columns. Use the Entry reference to inspect the journal. Source Record, Related Record and dimension references open their corresponding records. GL Account in this grid is display text; use Journal Entries when you need its account reference. Row selection is not enabled on Journal Explorer.
Follow the cash relationship
Use the cash context to distinguish recognition from settlement. An expense-recognition journal can establish a cost and payable; a cash-payment relationship points to the later outflow. Finding the outflow does not establish that the payable-clearing journal exists, and finding a journal does not establish that all of its source amount was settled. Compare the allocated cash amount and its underlying records rather than repeating it for every journal line.
The same source with Cash columns expanded and the grid scrolled right. Source Amount and Linked Cash each show USD1,200 once on the source group; the two journal lines do not duplicate those amounts. Related Record #3 is the associated cash split.
Open explorer opens Cash → Transaction Explorer scoped to the source record, Entity and period-end date. In this fictional example it leads to Cash Split #3, dated August 31, 2026, with a USD1,200 outflow. Continue with Transaction Explorer to trace its feed, transaction, activity and accounting.
Cash linked means an association exists. Verify allocation amount, currency, dates and the underlying records; it is not a full-settlement or reconciliation verdict. If a link has no allocated amount, the grid does not assume that the whole cash split belongs to it. With several related records, read the related-record summary and explorer rather than expecting one reference to represent them all.
Cash context reflects current links, while the explorer link requires eligible non-reversed cash through the period cutoff. A “Non-cash settlement” label reflects stored method information; confirm the actual method and ownership-transfer evidence before drawing an in-kind conclusion.
Interpret totals and resolve the issue
Source Amount and Linked Cash show amounts without their sign, once per source. Debit and Credit total the displayed journal lines. Keep currency visible: these totals are not FX-converted, and gross debit/credit totals are not additional cash flows.
Expense #1 already has a payment association, but its recognition journal is Draft. This does not establish posted expense recognition or complete payable-clearing accounting. Correct an incorrect source with its FundOps owner; send classification, dimensions, period or journal issues to the accounting owner. Inspect existing journals and reversals before creating another entry for the source.
