Data
Use Fund Operations → Incomes & Expenses → Data to maintain operating income and expense source records and inspect the Entity's fund accounts. Recognition, payment and accounting posting are separate from the existence of these records.
Select the Entity and source dates
Choose Entity, then an optional From/To date range. An empty Entity selection means all Entities.
The date range filters Income Date in Incomes and Expense Date in Expenses, including both endpoints. Either endpoint can be used alone. It does not filter by overlap with Period Start/End Date or calculate a monthly portion.
Accounts follows Entity only. A date range does not hide accounts opened outside that range; this section is an account master list, not an account-activity report.
Select Cedarbridge Example Fund LP #1 for the August example below. The separate Onboarding Practice Entity #2 has its own account and October income records used in the Cash matching examples. Check Entity and source dates when switching examples; Accounts follows Entity regardless of the source-date range.
Read source amount, period and account context
An expense source records the cost supported by the underlying evidence. Its source date decides whether the whole record enters this Data view. Its period describes the interval to which the source relates; selecting a month does not itself prorate or recognize the amount. Income records follow the same separation between source facts and subsequent processing.
Payment is represented through linked cash, and recognition through accounting records. This is why a positive expense source can be associated with a negative bank outflow, or an unpaid source can already have accounting recognition. Read each record for the question it owns.
Cedarbridge Example Fund LP #1 selected, August 1–31, 2026. Incomes has no results, Expenses shows one USD1,200 record, and Accounts shows the two fictional USD accounts. All three tables have finished loading.
Expense #1 is an Administration Expense dated August 31, 2026, with source amount USD1,200 and period July 1–September 30, 2026. The August filter retains the full USD1,200 source record. It does not turn that amount into USD400 or prove that any amount was recognized in August.
The source amount is positive while its separately linked cash outflow is -USD1,200. Compare the meaning and currency of each record before comparing signs. Do not change the source sign to make it look like a bank transaction.
Incomes contains no records for this example. This means no income source rows match the scope; it does not establish that every possible receipt or journal has been reconciled.
Accounts shows Cedarbridge Example Operating USD #1 and Reserve USD #2 at Illustration Bank (fictional). These are fund account masters, not chart-of-accounts GL accounts. Both are Active and opened July 1. Their appearance does not demonstrate a balance or a payment against this expense.
Work with the records
Read the ID, Entity, source date, period, Category, Description, Amount, Currency and Vendor together. Scroll horizontally for additional fields. The Banking Details group in Accounts keeps Institution Name visible; expand it for IBAN, Swift Code and Routing Number.
Use each section's Search records, Filter, Sort and Hide fields for that table. Use the document control to inspect or attach actual supporting evidence, subject to permissions.
To correct an evidenced error, find the existing row and edit its supported cells. Use Insert only for a genuinely missing source record; choose the correct Entity, date, category, amount and currency, and add the period and vendor information supported by the document. Respect permissions and row locks, wait for saving, refresh and verify the same ID.
Accounts are shared master records used elsewhere in the app. Correct an account only with authority and evidence; do not create or reassign one merely because an expense is unpaid.
Selecting rows exposes supported actions/context; it does not execute an action. Review any external notification separately before proceeding.
Continue to settlement and accounting
Follow a source’s cash links to establish settlement and its journal relationships to establish accounting treatment. Several settlement links can belong to the same source, and a present journal still needs its actual status checked. A source row’s existence answers neither question on its own.
Use Rollup to see income and expense records grouped through their cash-account links. Use Record Explorer with Table = Incomes or Expenses and the source's Record / ID to inspect linked cash, documents and accounting, including sources with no linked cash.
An income or expense record does not by itself confirm payment or posting. Administration Expense #1, the USD1,200 record shown above, has a linked USD1,200 cash payment and a prepared accrual Journal #1 in Draft. The draft records the proposed expense/payable entries; it does not establish posted recognition or clearance of the payable. Use Accounting Operations → Journal Explorer to inspect journals and Cash Recon to investigate settlement exceptions.
