Connecting Work to Records
A subscription agreement, an email and a processing result may all explain the same subscription. Linking each item to the subscription lets a reviewer find the evidence behind its details. The links do different jobs.
Attach the evidence to the record it explains
A document link associates a saved file with the business record it supports. The file supplies evidence for the record's details; the relationship lets the reviewer find that evidence from the record. A folder groups files, while the link says which subscription, expense or activity a particular file explains.
For a new subscription, a signed agreement can establish the legal subscriber, target class and agreed commitment. Save the agreement and link it to the subscription. A reviewer can then compare the agreed participation with the saved subscription fields.
Compare the agreement with the saved subscription fields. Attaching the file does not extract its contents or update those fields. If a configured processing step extracts the commitment, inspect both the result and the saved record before relying on it.
The same principle applies to an invoice linked to an expense or a notice linked to capital activity. A document explains an event. It does not by itself prove cash settlement or posted accounting.
Check a workflow's result
A workflow is a configured sequence of actions, such as reading a document and updating a record. It may also generate a file or send an email if those actions are included. The configuration determines what starts it; saving an attachment does not necessarily start processing.
Before starting an available workflow, check its purpose, input records and actions. Afterwards, inspect its run status and results, then return to the affected record to verify the saved change. A successful extraction step is not proof that a later update or email succeeded. Use the run's logs when a step fails.
This guide explains the connection to records. Follow the instructions for the particular configured workflow before executing it.
Review a record-linked email
An available email action can prepare a message using record details, a template and selected attachments. Check the intended subscription recipients, content and attachments before sending. Email may be a separate record action or a workflow step.
Where a record provides an Emails tab, inspect the linked email's status. Its presence means an email record exists; a failure status does not establish delivery. Use the recorded result to decide whether follow-up is required.
