Posting
Posting translates an eligible source event into ledger entries under an applicable rule. Before that can complete, the event needs a suitable accounting treatment, a journal containing the intended lines, and the authorized posting step. A source with an existing Draft has progressed beyond candidate selection but still lacks Posted recognition.
Open Accounting → Accounting Operations → Posting to investigate those stages together. Posting Queue identifies candidates with a matching rule; Missing Posting Rules identifies candidates without one; Draft JE Review exposes saved proposed lines. The lists have distinct populations, so an item leaving one list may have moved to another stage rather than completed accounting.
Read the three sections together
Start by deciding whether the source should produce accounting at all and which event is being recognized. An expense and the cash that settles it can require different accounting treatments for the same economics. Then determine whether the missing step is rule configuration, journal review or posting. Inspect existing journals before producing another one.
Choose Entity, confirm Period, and optionally narrow Source Type. Source candidates use their source date; Draft review uses journal Entry Date within the period, not the header's stored Period Id.
Fictional Entity #1 in the July–September 2026 Open period. Posting Queue is empty. Draft JE Review shows line IDs #1 and #2 of the same journal #1, with debit/credit amounts of USD1,200 each. Missing Posting Rules has three cash-split candidates, two investment-activity candidates and three subscription-activity candidates. Native Hide fields simplifies the Draft table; the three source groups below are collapsed.
Posting Queue
One row represents a nonzero source candidate for which an active, date-effective posting rule is found and no Draft or Posted source journal already exists. Matching considers Source Type, Trigger Source Type, Entity/global scope, category/wildcard and effective dates.
A match does not prove that exactly one rule exists, GL mappings/dimensions are valid, the period is open or the posting engine will accept the source. Review the applicable rule and the source's business meaning before execution.
Draft JE Review
One row represents one line of a Draft journal. In this example two rows have Journal Entry Id #1; they are not two journals or two expenses. Amount is positive and Entry Side identifies debit or credit. Keep Currency visible.
This table does not perform a balancing/readiness test, and a Draft header with no lines will not appear here. Open Journal Entries or Journal Explorer through the app's native tabs to inspect the actual header, all lines, currency, evidence, dimensions and status.
Missing Posting Rules
These are nonzero source candidates without a matching active/date-effective rule and without an existing Draft or Posted source journal. Expand Source Type → Category to reach the records. The Source Id count on a group counts candidate records; the badge beside a parent group can count its immediate subgroups instead.
The candidate population is broad. It can include notices, commitments or other categories that should not necessarily generate accounting, and it is not a complete screen for reversed/canceled/non-cash sources. Some unresolved investment ownership scopes can be omitted. Investigate intent; do not create a rule for every row simply to clear the list.
Amounts here are absolute source magnitudes, and currency is not displayed. Check the source's currency and direction before comparison. Do not sum these lists as distinct fund activity: an expense and its cash settlement can be two stages of the same economic event.
Why Expense #1 is absent from both candidate lists
The fictional organization has no posting rules, but Expense #1 already has Draft journal #1. That existing Draft excludes the expense from both Posting Queue and Missing Posting Rules. Its two lines instead appear in Draft JE Review.
This is still unposted proposed recognition. The expense's separate cash-payment link does not complete payable-clearing accounting. An empty Posting Queue—or even three empty sections—cannot certify that everything has been posted.
Take the next action safely
- Identify the source using Source Type and Source Id; IDs in these diagnostic lists are not all clickable references.
- Check for existing journals and reversals in Journal Entries/Explorer before requesting another entry.
- Route incorrect source facts to their FundOps owner. Route legitimate rule/mapping gaps and journal classification/dimensions to the accounting owner.
- Use only the organization's authorized posting workflow after review. Refresh and verify the saved journal, complete lines and actual Posted status after an authorized execution.
Selecting rows does not generate or post a journal. Available workflow actions depend on the installed app and your permissions; no posting action was executed in this example. Confirm an action's effect before using it, because some configured workflows run immediately. Use the posting workflow rather than changing a Status field to Posted.
