Record Explorer
Use Fund Operations → Incomes & Expenses → Record Explorer to inspect the cash, documents and accounting connected to a selected income or expense record.
The default Table is Expenses. Choose Incomes to investigate a receipt-related source. Other starting tables are Activity Feed, Account Transactions, Cash Splits, Documents, Journal Entries, Journal Lines, Capital Accounts and Capital Account Transactions. This app displays both Incomes and Expenses cards, with the related rows found for the selected starting record.
Choose a starting record
Choose Table, then Record / ID. The record list belongs to the selected table: the same numeric ID in two tables identifies two different records. After changing Table or following a link from another app, confirm both selections again. Wait for the options and related tables to finish loading.
Until both selections are present, the page asks you to select a table and a record and hides the result tables. Record Explorer does not apply an As of Date cutoff or the entity, share-class and date filters from another tab. It follows the selected record's saved relationships across recorded dates.
Read the related tables
The source supplies what was earned or incurred. Cash records supply the receipt or payment trail, while journals supply the accounting treatment. For an expense, recognition can create a payable before payment, and payment can exist while the related journal remains Draft. Follow those trails separately to establish what is complete.
A source can have several settlement links and several journal lines. The parent transaction or journal can also carry context beyond this source. Inspect each relevant linked portion rather than treating the total of every related row as another expense or payment.
Each row is an existing row in its named data table. Activity Feed, Account Transactions and Cash Splits show different layers of the cash record. Documents lists linked documents; Journal Entries, Journal Lines, Capital Accounts and Capital Account Transactions show accounting relationships where present.
The activity sections depend on the app: Subscriptions shows Subscription Activities; Investments shows Investment Activities; Incomes & Expenses shows Incomes and Expenses. Inspect the sections relevant to your selected source record.
Cards open expanded. Use their chevrons, internal scrolling and each table's Search, Filter, Sort and Hide fields controls to inspect the results. A journal can bring its other lines into view, and a cash transaction can include more than the selected activity. Compare the relevant references and amounts before attributing a whole transaction or journal to one event.
These tables are related evidence, not amounts to add together. A notice, its settlement activity, bank feed, transaction, split and journal lines can describe the same economic event.
Investigate and correct
Use reference chips to inspect the owning records. Where your role and the row's lock state allow, the native tables support editing and insertion. A saved edit changes the underlying record used by other apps; selecting a row or opening a card does not change it. Do not insert another payment or journal merely because a related table is empty.
For an empty result, verify Table and Record / ID, inspect existing notice/source and cash links in the owning app, and use FundOps Recon or Cash Recon to investigate the missing relationship. An empty Journal Entries table means no journal was found through this explorer's relationships; a journal's presence alone does not establish that it is Posted. After a supported correction, refresh the same starting record and recheck the affected tables.
Separate expense recognition from payment
Recognition records the expense and its balancing accounting effect, such as a payable. Settlement records the cash leaving an account and requires its own accounting treatment where applicable. A payment linked to the source therefore does not by itself show that a prepared accrual was posted or that the payable was cleared. Read the journal’s status and individual lines to establish those facts.
Fictional example: Expenses → expense #1, Cedarbridge fictional administration expense. The related bank payment is −USD 1,200 on August 31, 2026.
- Open Record Explorer with Table = Expenses.
- Choose #1 · 2026-08-31 · 1200 · Cedarbridge fictional administration expense.
- Inspect the +USD 1,200 expense in Expenses and the −USD 1,200 payment in Activity Feed #3, Account Transaction #3 and Cash Split #3. The source amount and payment direction have different meanings.
- Inspect Journal Entry #1 and Journal Lines #1–2. The prepared journal debits Administration Expense and credits Expense Payable for USD 1,200 each.
The same expense, scrolled to accounting. Journal #1 is Draft; the two journal lines do not represent two expenses or two payments.
This example has a linked cash payment and a prepared Draft accrual journal. It does not demonstrate posting, clearing the payable or closing the period. The Incomes and capital-account tables can legitimately be empty for this expense. The walkthrough does not execute a payment or posting workflow.
